Privacy Policy

Fundamental principles

The OSP Group (which refers to OSP HOLDINGS CO., LTD., OSAKA SEALING PRINTING CO., LTD., and group companies based in Japan. For more information on group companies, please see here: https://www.osp-holdings.co.jp/company/group/) complies with laws and regulations and strives to protect personal information based on the following basic principles.

(1) Principle of collection restrictions

Personal information will be collected by lawful and fair means.

(2) Principles of data content

We will endeavor to keep the information accurate, complete, and up-to-date, in line with the intended use.

(3) Principle of clarity of purpose

When handling personal information, we will specify the purpose of use as specifically as possible.

(4) Principle of Usage Restrictions

Unless we have received consent from the individual concerned or are required by law, we will not use the collected data for purposes other than those intended.

(5) Principles of Security Protection

We will take safety management measures to prevent accidents such as theft, loss, damage, and leakage of personal information.

(6) Principle of Openness

We will disclose our data collection policy and clearly state the existence of the data and its purpose of use.

(7) Principle of individual participation

If an individual requests disclosure of their registered personal information, we will respond appropriately by following prescribed procedures such as identity verification.

We will appoint a personal information protection manager to be responsible for the handling of personal information.

About the handling of personal information

In accordance with the above basic principles, the OSP Group will handle personal information of customers and business partners (including the personnel of customers or business partners, as well as potential customers or business partners and their personnel. hereinafter collectively referred to as "Customers") appropriately as follows:

The meanings of terms used in this policy shall be in accordance with the Act on the Protection of Personal Information (hereinafter referred to as the "Personal Information Protection Act").

In addition, if OSP Group provides individual notice regarding the handling of personal information through its services or websites, or at the time of acquiring personal information, such individual notice regarding handling shall take precedence.

1. Items of personal information to be acquired

The OSP Group will collect the following personal information about customers:

(1) Information regarding identity verification

・Name, address, postal code, gender, date of birth, telephone number, email address, account ID and password, information related to official documents such as driver's license and resident's certificate, etc.

・Information about place of employment, affiliation, and occupation

(2) Transaction information

Transaction details (including manufacturing details) and purchase history information, etc.

(3) Payment information

Information regarding financial institution accounts, payment and payment methods, etc.

(4) Information acquired when using the service

Online identifiers such as cookie IDs, device information, location information, browsing history and other service usage status (including access logs, IP addresses, browser information, browser language settings, etc.), etc.

Information regarding inquiries and contacts from customers to the OSP Group

2. Purpose of Use

The OSP Group will acquire and use your personal information within the scope of the following purposes of use (hereinafter referred to as "the Purposes of Use").

Personal information acquired and managed by the OSP Group will not be provided to third parties without the consent of the individual, except as required by law.

The OSP Group may jointly use personal information as follows:

5. Entrustment of personal information

In order to carry out business activities smoothly and efficiently, we may entrust the handling of personal information to cooperating companies with whom we have concluded "basic business agreements" and "memorandums on personal information protection," etc., to the extent necessary to achieve the purpose of use.

We have appointed a person in charge of handling personal information, and we regularly conduct self-inspections of how personal information is handled, as well as have other departments conduct audits.

7. How to request disclosure, etc.

(1) Documents and address to be submitted when making a "request for disclosure, etc."

Please contact our customer service center for requests regarding notification of the purpose of use of your personal information, disclosure of retained personal data or records of provision to a third party, correction, addition or deletion of content, suspension or erasure of use, and suspension of provision to a third party (hereinafter referred to as "requests for disclosure, etc."). Depending on the content of your inquiry, we will send you a designated invoice form from the OSP Group. When making a request, please fill in the necessary information on the designated invoice form and send it by mail to the address below together with the documents listed below.

A: Copy of your residence certificate (issued within the last three months, without your personal number listed)
B: Any one of the following:

・Copy of your driver's license (front and back)
・Copy of passport (including the photo page and the passport holder's name page (excluding those without an address))
・Copy of your residence card (front and back)
・Copy of your health insurance card (the page showing your name and address. Please mask out the insurer number and insured code/number before submitting.)
・Copy of your My Number card (front only)

If the claimant is an agent, in addition to documents A and B above, please also prepare the following documents:

(a) Documents to verify the identity of the agent (documents A and B above)
(a) Either document C or D

C:

A letter of attorney from the person in question (stamped with the person's official seal) and the person's personal seal registration certificate

D:

Any of the following documents proving that you are the legal representative of the person in question:

・If the representative is the person with parental authority, an extract from the family register (original)
・If the representative is the legal representative of the person in question, the original certificate of registration of the adult guardian, etc.

(2) Procedural costs related to "requests for disclosure, etc."

The requester must cover the postage and other costs associated with sending the request form, power of attorney, and identity verification documents that are to be submitted when making a "request for disclosure, etc."

For notification of the purpose of use of retained personal data or disclosure of retained personal data or records of provision to a third party, a fee of 1,000 yen (including consumption tax) will be charged for each request. Please transfer the amount to the bank account listed on the invoice. Please note that the transfer fee must be borne by the requester.

(3) Method of Disclosure of Retained Personal Data and Records of Provision to a Third Party

In response to a request for disclosure of retained personal data or records of provision to a third party, if we make a disclosure and the requester is not specified, we will disclose the information by mail in writing to the address stated in the request form.

(4) If we are unable to comply with your request

If required by law, or if there are any deficiencies in the items described in (1) above or in the attached documents (including cases where the transfer of the fee in (2) (i) cannot be confirmed), we will not be able to respond to your "Request for Disclosure, etc."
Please note that even in this case, we will not refund any procedural costs (including processing fees).

(5) Other

The personal information contained in the request form, power of attorney, and identity verification documents submitted when making a "request for disclosure, etc." will be used to the extent necessary to appropriately respond to the "request for disclosure, etc."
The invoice, power of attorney, and identity verification documents that you submit will be managed and disposed of appropriately by the OSP Group. Please note that they cannot be returned.

8. Handling of Cookies

The OSP Group website uses cookies and other similar tracking or analytical technologies (collectively referred to as "cookies") to provide you with more appropriate services.
